Choose a format the staff can keep current
A dining-room menu, a takeaway leaflet and a catering menu have different jobs. A menu passed between guests needs to be easy to hold and read. A takeaway copy needs room for ordering details. A catering menu may need package quantities, minimum orders and advance-notice information supplied by the restaurant.
Separate frequently changing items from stable content. A specials insert can be replaced without reprinting the main menu, provided the holder and layout accommodate it. Keep the current price list in one place and name the person who approves changes.
Test the page with real menu content
Lay out the actual dishes, descriptions and prices before choosing the finished size. Ask someone unfamiliar with the menu to find a dish, compare options and locate the ordering information. Try the printed sample under the lighting where guests will use it.
- Group related dishes under short, recognizable headings.
- Keep prices and any restaurant-approved dietary information easy to associate with the correct item.
- Use photographs only when they are accurate and leave enough room for readable text.
- Check every version, including lunch, dinner, takeaway and seasonal inserts.
Color and decorative type can support the restaurant’s identity, but they should not make the food harder to find. There is no need to fit a longer menu by shrinking every line.
Compare a physical size and material sample
Letter size, 8.5 by 11 inches, and legal size, 8.5 by 14 inches, are possible starting points. An 11 by 17 inch sheet folded in half produces four 8.5 by 11 inch pages. Make a paper dummy before settling on a folded layout, especially if the menu must fit a holder or a small table.
Ask to compare the proposed paper and finish. Gloss, matte, synthetic material and lamination are different specifications; none establishes a universal replacement interval. Explain whether the menu will be wiped, carried outdoors, folded or discarded after use. Confirm suitable handling and cleaning instructions for the actual material.
Budget around use and replacement
Count the menus needed during a busy service, then allow a deliberate quantity for replacements. Compare that need with the next expected content change. Buying more copies is only useful when the restaurant can use them before the prices or dishes change.
For a menu printing request, include the flat and finished sizes, quantity for each version, sides or page count, sample material and required handover date. Identify whether layout work, folding or another finish is part of the request.
Before approval, check the final prices against the restaurant’s current list and read the proof at its intended size. Save that approved file separately from working drafts. Staff can then identify the current menu and remove damaged or outdated copies without guessing which version to reorder.
