Corporate print projects: coordinate versions, approvals and delivery

A corporate print order may involve several departments, locations or events. The useful starting point is a shared specification: what each piece is for, which version is approved and where the finished quantity needs to go.

Group the work by purpose

List the pieces required for the project. An onboarding pack may need a folder, guide and forms; a meeting may need a report, agenda and name cards. Identify the essential pieces before adding optional materials.

Give each item a finished size, page count, quantity and intended use. Confirm whether it needs to be written on, mailed, carried in a folder or kept for repeated reference.

Make one version register

Track the artwork filename, department or location, quantity and approving person. Separate common design elements from information that changes between offices or staff members.

Use final names, dates and contact details in the proof. When different teams contribute copy, appoint one person to reconcile corrections before approval so that an old version is not accidentally restored.

Check the pieces as a set

A folder, booklet and envelope need to fit together physically. Review page order, insert thickness, folds and orientation. For an important kit, discuss the sample or proof needed to assess assembly before the full run.

Keep the brand references consistent across pieces, while recognizing that different papers and print methods may reproduce color differently. Choose the available proof against the materials that matter to the job.

Separate printing from distribution

State whether the order needs assembly, destination labels, multiple packs or delivery to several locations. Confirm who is responsible for each step and what is included in the quote.

For mailed communications, define the mailing preparation and postage separately. For confidential internal documents, ask the organization’s responsible owner to establish the handling requirements before supplying production files.

Leave a usable reorder record

Save the approved artwork, specification and order reference. Record which details need fresh approval each time, such as staff lists, policies or event dates. A repeat order is simpler when the change is explicit; it still needs a current scope and quote.
